New York City IVF (“we,” “us,” “our”) operates nycivf.com. This policy explains what we collect through this website, how we use it, and the choices you have.

What we collect

Information you give us. When you ask for a consultation or get in touch, we collect what you enter. Our consultation request form asks for your name, phone number, email address, the treatment or service you’re interested in, your insurance carrier if you choose to share it, and how you heard about us. The enquiry forms on our egg freezing and IVF campaign pages also ask for your insurance name and member ID, and give you space to write a message.

We ask you not to include medical details in these forms. Everything clinical is discussed privately with you at your visit.

Information collected automatically. Each time you visit, our website and the services that support it record technical information: your IP address and the approximate location it suggests, your browser and device type, the pages you view, how long you spend on them, and the website or advertisement that brought you here.

Advertising identifiers. If you arrive from an online advertisement, the advertising platform may add an identifier to the link — for example a Google click identifier or a Meta click identifier. Where one is present, it is recorded with your enquiry so we can understand which campaigns reach the people we can help.

Cookies and tracking

We use cookies, pixels and similar technologies, managed through Google Tag Manager. They do three things:

  • Make the site work. Security, page delivery, and remembering your preferences.
  • Tell us how the site performs. Google Analytics shows us which pages people read and where visitors come from.
  • Measure our advertising. The Meta pixel, the LinkedIn Insight Tag and Google advertising tags tell us whether our campaigns reach people, and allow us to show information to people who have visited the site before.

You can control these in several ways. Your browser settings can block or delete cookies. Google, Meta and LinkedIn each provide their own advertising controls and opt-outs through your account settings with them. We honour the Global Privacy Control signal where your browser sends one. Blocking cookies may affect how parts of this site work.

How we use it

  • To answer your enquiry, arrange your appointment, and provide the care you ask for
  • To run, secure and improve this website
  • To understand which pages, campaigns and referral sources bring patients to the practice
  • To send you information you have asked us to send
  • To meet our legal, regulatory and professional obligations

How we share it

We share information with the service providers that run parts of this website and our enquiry process for us, limited to what each one needs to do its job:

  • JotForm — hosts and stores submissions from our campaign enquiry forms
  • GoDaddy — hosts this website
  • Render — runs the service that routes new enquiries to our team
  • Asana — internal tracking, so that every enquiry is followed up
  • Google — analytics, tag management and advertising measurement
  • Meta and LinkedIn — advertising measurement and delivery

Where a provider may handle information protected by HIPAA, we put a Business Associate Agreement in place before that provider receives it.

We also disclose information where the law requires it, where it is needed to protect the rights and safety of our patients, our staff or the public, and in connection with a sale or transfer of the practice.

We do not sell your personal information. We do share information with the advertising services described above, which some laws treat as “sharing for cross-context behavioural advertising.” You can opt out using the controls described in that section.

Keeping it safe

We maintain administrative, technical and physical safeguards designed to protect personal information, consistent with the New York SHIELD Act and, for protected health information, with HIPAA. No method of transmitting information over the internet is completely secure, and we cannot guarantee absolute security.

How long we keep it

We keep website enquiry information only as long as we need it for the purposes described above, after which it is deleted or stripped of anything that identifies you. If you become a patient, information about your care becomes part of your medical record, which we keep for the period required by New York law and professional standards.

Analytics and advertising information is kept according to the settings of each platform.

Your rights and choices

Everyone. You can ask us to show you, correct, or delete personal information we hold about you, and you can opt out of analytics and advertising at any time using the controls described above. Write to us using the details below. Rights relating to your medical record are described in our Notice of Privacy Practices.

New York residents. New York law requires us to protect your private information with reasonable safeguards, and to notify you if there is a breach of that information.

California residents. You may have the right to know what personal information we collect, use, disclose and share; to ask us to delete or correct it; to opt out of its sale or sharing; to limit how we use sensitive personal information; and not to be treated differently for exercising any of these rights. Contact us using the details below and we will verify your identity before we respond. You may use an authorised agent.

Visitors from the European Economic Area, the United Kingdom and Switzerland. We process your information on the basis of your consent, our legitimate interest in running and promoting the practice, the steps needed to respond to your request, and our legal obligations. You have rights of access, correction, erasure, restriction, portability and objection, and you can withdraw consent at any time. You may also complain to your national supervisory authority. Information you send us is processed in the United States, which may not offer the same level of data protection as your home country.

Children

This website is intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.

Other websites

This site links to websites we don’t operate, and the forms on our campaign pages are hosted by another company. We’re not responsible for the privacy practices of those services, and we encourage you to read their policies.

Changes to this policy

We may update this policy from time to time. The date at the top of the page shows when it was last revised, and we’ll note any material change here.
